Help / Add a video call link

Add a video call link

Send a video call link to everyone who books a service, and how to get one that lasts.

Every plan

Add one link to a service and everyone who books it gets it after they book. It’s in their confirmation and reminder emails, on their booking page and in their calendar event. It’s never shown on your public page.

Add it to a service

  1. Open Bookings and go to What people can book.
  2. Under the service, open How we’ll meet and choose Video call link.
  3. Paste your link into Video call link. A tick line says which service we recognise.
  4. Choose Save services.

We recognise Zoom, Google Meet, Microsoft Teams, Whereby, FaceTime and WhatsApp. Any other link starting with https:// works too, and says “We don’t recognise this service. Check it opens a call.” Open the link yourself once to check it works.

If you change the link later, bookings still to come show the new one, and reminders carry the current link.

Get a link that lasts

Use a link you can keep. A link made for one meeting can stop working.

Zoom. Use your Personal Meeting Room. In Zoom, open your profile and copy your Personal link (or the link made from your Personal Meeting ID). It’s the same every time. Zoom says a Personal Meeting ID expires if you haven’t used it for 365 days, so start a call in it now and then. Anyone with the link can join while it’s open, so turn on the waiting room.

Google Meet. On meet.google.com, choose New meeting, then Create a meeting for later, and copy the link. Google says a link made this way expires 365 days after its last use. A link made inside a Google Calendar event expires if it hasn’t been used for 60 days and isn’t on any future event, so don’t use one of those.

Microsoft Teams. In Teams, open Calendar and make a recurring meeting, then copy its join link with Share, then Copy join link. The link stays while that meeting is in your calendar, so don’t delete it. A Meet now link isn’t made to be reused, and we can’t promise how long one lasts.

FaceTime. On an iPhone, iPad or Mac, open FaceTime and choose Create Link, then copy it. People on Android or Windows join in a browser (Chrome or Edge), and you let them in from the waiting room. Apple doesn’t say whether a link expires, so check it before you rely on it.

WhatsApp. In WhatsApp, open the Calls tab and choose Create call link, with Video as the call type, then copy it. People without WhatsApp can join in a browser, and you let them in. WhatsApp doesn’t say how long a link lasts, so check it before you rely on it.

Other ways to meet

How we’ll meet also has I’ll call you on WhatsApp, I’ll phone you and Face to face. For a WhatsApp or phone call, people are asked for a Mobile (for your call) when they book, and you see their number on the booking with a WhatsApp or Call button. For Face to face, add where, for example “At the studio, 4 Mill Lane”. People see it after they book.
